A full time, permanent role, based in Birmingham, Cambridge or Norwich with occasional travel to other offices and hybrid working.

The Role

Reporting to the firm’s Collections Manager, this newly created role is to provide administrative support to the credit control team and wider Firm, supporting our key business objective of being a leader in client experience whilst driving profitable growth.  This is a great opportunity to join a high performing finance team and further your career in an ambitious and growing top 50 national law firm.

The Activities

Main Responsibilities / Activities

  • Produce credit control letters and statements and ensure these are sent to clients in a timely manner.

  • Produce weekly aged debt reports and ensure these are sent to Matter Managers and Matter Partners

Manage the Credit Control inbox, including, but not limited to:

  • Sending copy invoices to clients

  • Completing supplier forms

  • Adding Purchase Order (PO) numbers to invoices and resubmitting them for processing

  • Confirming bank details to clients arranging payment of our invoices

  • Updating our Credit Control system with promises of payment

  • Follow up with Matter Managers working for clients which require PO numbers to ensure these are added to our system before invoices are raised

  • Add contact details to our Credit Control system

  • Review files and check with Matter Managers to confirm invoices have been dispatched where dispatch has not been automatically confirmed within the Firm’s billing SLAs

  • Update portal status changes for eBilled invoices

  • Take credit/debit card payments from clients in respect of our invoices

  • Support the team to ensure all general administration tasks are completed in a timely manner

Other Responsibilities

  • Develop a sound knowledge of key finance systems that are relevant to the role

  • Develop an understanding of our cash collection policies and processes

  • Perform other work as necessary to assist in meeting firm objectives as delegated by the Collections Manager, Billing Manager, and Financial Controller

The Person

This role requires someone with previous administration experience who is computer literate and who is able to thrive in a busy environment where they are required to use their own initiative to solve problems and see work through to its conclusion.  Some experience within a Finance department, or within a role which involved elements of finance would be useful, but is not essential.

Given the nature of this role, it is likely that your background and experience will include:

  • an education to A-Level or the equivalent with strong results in English and Maths GCSEs (or their equivalent)

  • a good working knowledge of Excel and Word

  • work experience in a role with a level of independence and responsibility

  • office based experience within a busy and fast paced team

The role additionally requires someone who:

  • can demonstrate taking ownership of work and problem solving

  • is able to manage their workload with limited supervision
