The role

The HR systems’ team is an intrinsic part of the firm’s HR team where HR technology and data are at the core of delivering outstanding client service.  From producing reports; analysing data; developing process improvements; implementing new functionality and system updates, to resolving end user queries and maintaining the integrity of employee data, there is no doubt the team plays an important part in delivery of our people strategy.

Implemented in 2017, PeopleXD is the firm’s integrated personnel, self-service, payroll and eRecruitment HR system.  Our role is to maximise the benefits of this system to the firm.

This role will work as part of the firm’s HR team and report to the Senior HR Information Systems Manager who is based in the Cambridge office.

The person

This is a busy and challenging role working with the HR team and supporting the wider internal client base.  To be successful, your background will ideally include previous HR system/HR admin or similar system management experience.  You will have a keen interest in process review/improvement.  Your understanding of the importance of data accuracy will allow you to provide accurate management information to support business decisions.

You will need the ability to deal effectively, quickly, and accurately with a high volume of work with often conflicting deadlines.

More specifically, you will be able to demonstrate the following:

  • A good working knowledge of Excel ideally using pivot tables and Vlookups and can manipulate data to produce and interpret statistics
  • An ability to turn work around quickly, without compromising on quality
  • Ideally educated to a A-level standard or equivalent
  • A passion for data quality with a keen eye for detail
  • Be able to manage multiple tasks at any one time, as well as ensuring your clients are kept updated as to progress
  • An approachable, proactive and professional working style, with a calm and methodical approach to your work and excellent attention to detail
  • A logical and common-sense approach to problem solving while being able to explain matters in a simple and straight forward way either verbally or in writing
  • You will be a self-starter, willing to take accountability for tasks, have strong communications skills and have an appetite for learning and retaining knowledge

The activities

PeopleXD

Support the Senior HR Information Systems Manager by:

  • Being the first point of contact for queries from the HR team, managers, and employees. (via the hrsystems email inbox); and liaising with the software vendors to trouble-shoot and resolve issues as necessary
  • Being a super user for the People XD modules (excluding payroll); becoming established as a lead in a specific area of technical knowledge and competence
  • Assisting with the delivery and roll out of items on the internal roadmap: new functionality, process review/improvements, big data/MI including ongoing data management; and taking ownership to deliver elements, as agreed
  • Support system upgrades by way of user acceptance testing and HR team learning where processes have changed, or new functionality has been introduced
  • Support learning, provide training to others, including the creation of user procedures, guidelines and documentation as required
  • Identify and implement process improvements and configuration changes
  • Administer PeopleXD security settings for the HR team

Management information and data

  • Carrying out ongoing data checks to ensure integrity and accuracy of the information held, sharing findings with those responsible for inputting to encourage future accuracy.
  • Maintain and develop the Insight reports, sharing with internal clients as appropriate or required including the production of monthly and ad hoc reports, as necessary.
