The role

We have a fantastic opportunity to join our Procurement & Finance Operations team as a Purchasing Assistant who will be responsible for providing generalist administration support to this busy team.

The activities

Business and operations support

  • Support the Buyers and Business Support colleagues in raising accurate purchase orders in a timely manner
  • Help Business Support colleagues to maintain blanket purchase orders, manage supplier spend and ensure timely payment of suppliers
  • Complete new supplier forms, for approval by Business Support Head(s)

Leadership

  • Read firm communications and support new initiatives
  • Actively help others and be flexible / willing to go the extra mile to ensure work is completed on time, including having an awareness of workloads and priorities to assist and cover planned and unplanned absences
  • Understand the Procurement Policy and  processes and understand what is required in order to comply with these

Business Management

  • General data entry and maintenance of supplier data in the Supplier Contracts Database and Purchase Order System
  • Generate reports on spend within 3E, Credit Card Portals, Amazon Business etc.
  • Help manage online suppliers accounts such as Amazon Business etc.

Technical Excellence

  • Scan and file relevant documents for the team which may include, but is not limited to, contract documents, supplier due diligence questionnaires etc.
  • As required, organise meetings, including diary management, creating agendas and arranging refreshments and, on occasion, attend these to provide notes of the meeting which should be distributed to all relevant members of the team, and
  • Support the team to ensure all general administration tasks are completed in a timely manner including the collection of supplier data for ISO and internal audits.

The person

This role requires someone with previous administration experience who is computer literate and who is able to thrive in a busy environment where they are required to use their own initiative to solve problems and see work through to its conclusion.  Some experience within a procurement department or within a role which involves elements of buying would be useful but is not essential.

Given the nature of this role, it is likely that your background and experience will include:

  • At least 5 GCSEs at Grade 4 (formally Grade C) or above to include mathematics and English (or equivalent);
  • A good understanding of Microsoft 365; Word, Excel, Outlook and Teams;
  • Comfortable with technology and data inputting;
  • Work experience in a role with a level of independence and responsibility; and
  • Office based experience within a busy and fast paced team

The role additionally requires someone who:

  • Can demonstrate taking ownership of work and problem solving
  • Is able to manage their workload with limited supervision
