Marketing Events team, All office locations considered, 12 months fixed term contract

The role

The role is responsible for the successful planning and execution of firmwide internal events. This includes advising key stake holders (KLD, ESS, Finance, Procurement, Senior Leadership team) on how to ensure their events achieve their learning objectives within a set budget and whilst adhering to best practice guidelines.

Success in this job requires cooperation from a wide range of people from across the firm and external suppliers/venues. This is a multifaceted role working within the events team (part of the marketing team) which requires excellent project/event management, administration, IT and comms skills. You will be one of a seven-person events team who work closely with and support one other. This in turn, is part of a 58 strong national Marketing team and you will work alongside the KLD, Procurement and the Senior Management team.

The activities

  • Planning and implementing the delivery of successful internal events (face to face, and virtual) you will complete tasks yourself but be confident to ask for support and delegate work
  • Provide strategic advice to stakeholders on feasibility of possible events
  • Communication with internal and external contacts to make sure their expectations match what we are delivering
  • Negotiation with suppliers/venues to ensure best value solutions
  • Keeping clients up to date with the progression of the event and any tasks that are required of them
  • Producing detailed plans for events (timelines, venue/rooms and budgets)
  • Booking internal and external rooms and arranging catering and facility requirements such as AV.
  • Building a portfolio of trusted suppliers and venues for future events
  • Working with multiple agencies to ensure smooth working processes and that cost efficiencies are fully utilised (expand on this to capture the venue contracts and procurement piece)
  • To utilise the firm’s CRM database and email marketing systems to draft/send invitations and other communications and to monitor responses
  • Utilising social media where appropriate to raise profile of the business
  • Managing and reporting on event feedback and ensuring ROI for all events in order to create best practice guidelines for future events
  • Attend events as appropriate and provide agile advice to ensure the smooth running of the firm events

The person

Given the responsibilities of this role, it’s likely that your background and experience will include:

  • Excellent IT skills – office software, web systems, app based software, CRM databases, Zoom, video editing software, YouTube
  • Evidence of advanced negotiation skills
  • Evidence of excellent organisational skills, ability to delegate and attention to detail
  • Evidence of excellent communication skills
  • Experience in an events/project management role

The role also requires someone who:

  • is flexible for early starts and late finishes when events are planned
  • is self-managed and confident in setting and prioritising their own work agenda.
